Does AI Billing Integrate with QuickBooks?
Yes. Polemica's billing automation syncs with QuickBooks Online — invoices created by the AI are pushed to QuickBooks as receivables, payments recorded in the system mark the QuickBooks invoice as paid, and customer records stay in sync. No manual data entry between systems.
The QuickBooks integration works in both directions. When the AI creates an invoice, it creates a corresponding invoice record in QuickBooks with the same line items, amounts, and customer details. When the customer pays through the payment link, the payment is applied in Polemica and synced to QuickBooks as a payment against that invoice. Your QuickBooks A/R balance stays current without anyone manually updating it.
For accounting and tax purposes, this means the books reflect actual cash flow in near-real-time rather than requiring end-of-month reconciliation. Your accountant sees an accurate picture of outstanding receivables at any point, not one that's several weeks behind.
Customer records sync as well: new customers created in Polemica (when a new job is booked) appear in QuickBooks. Updates to customer details flow in the same direction. The integration eliminates the data entry that currently happens when someone takes a new job booking and then manually creates the customer in QuickBooks.
Common questions
QuickBooks Online is fully supported. QuickBooks Desktop integration is limited — most modern integrations don't support Desktop due to API restrictions. If you're still on Desktop, the integration works best if you migrate to QuickBooks Online first.
