AI for Fitness
Automated reminder sequences reduce fitness class and personal training no-shows by 50–70%. The sequence is simple: a booking confirmation immediately after scheduling, a 24-hour reminder, and a same-morning reminder for early sessions. Studios that automate this sequence recover thousands of dollars per month in sessions that would otherwise be wasted.
No-shows are different from cancellations. A member who cancels gives the studio a chance to fill the spot. A member who simply doesn't show provides no notice and wastes the slot entirely. The goal of a reminder sequence is to convert no-shows into either shows or cancellations — both are better than a no-show.
The three-message reminder sequence that works:
Booking confirmation: Sent immediately after the session is booked. Contains the date, time, location, what to bring, and a cancellation link. Sets expectations clearly.
24-hour reminder: Sent the day before the session. Brief, specific — "Reminder: your [session type] with [trainer] is tomorrow at [time]." Includes the cancellation link prominently.
Same-morning reminder: For sessions before noon, sent at 7am on the day. For afternoon or evening sessions, sent 3 hours before. This is the most effective no-show prevention message because it catches members at the moment they're most likely to forget or reconsider.
For personal training specifically, the trainer's name in the reminder message is a meaningful motivator. "Your session with Sarah is tomorrow at 9am" creates more accountability than a generic studio reminder.
Common questions
Yes, but that's the correct outcome. A member who was going to no-show is better served by cancelling — the studio can fill the slot, the trainer's time is not wasted, and the member doesn't feel guilty about a missed session. Studios that add cancellation links to reminders see cancellation rates increase slightly and no-show rates decrease significantly, which is the correct trade-off.
